Plain-English summary. Callibre is a B2B SaaS platform. We collect what we need to operate the service, bill you, and keep things secure. We don't sell personal information. You can email hello@callibre.ai at any time to access, correct, or delete your data.
1. Who we are
Callibre ("we", "us", "our") operates the white-label conversational AI platform available at www.callibre.ai. For privacy questions, contact us at hello@callibre.ai.
2. Scope
This policy describes how we handle information collected through this website and the Callibre platform when used directly by a Callibre customer. When you use the platform to provide services to your own end clients under your brand, you are the controller of those end-client communications and conversations, and we act as a processor on your behalf under our customer terms.
3. Information we collect
- Account information you provide when signing up or contacting us: name, business email, agency name, role, and similar identifiers.
- Billing information processed by our payment provider: cardholder name, the last four digits of the payment method, billing address, and transaction history. Full card numbers are handled by the payment processor and never stored by Callibre.
- Platform usage data: dashboard interactions, configurations you save, API calls, agent runs, call minutes, and operational logs.
- Conversation data generated when the platform handles a call or chat on behalf of you or your end clients: audio, transcripts, model prompts and completions, metadata such as duration and outcome.
- Communications you send us (support emails, chat transcripts, scheduled call recordings where applicable and with notice).
- Technical data from the marketing site: IP address, user agent, referrer, pages viewed, basic analytics events. We do not use cross-site advertising trackers on this site.
4. How we use information
To provide and operate the service; to authenticate accounts and prevent fraud; to charge subscription and usage fees; to provide support; to debug, monitor, and improve the platform; to communicate operational and security notices; to send a small number of product update emails (which you can opt out of); and to comply with legal obligations. We do not use Customer Data or conversation data to train general-purpose models, and we do not sell personal information.
5. Legal bases (EEA / UK)
Where applicable law requires a legal basis for processing, we rely on: (a) performance of our contract with you; (b) our legitimate interests in operating, securing, and improving the service; (c) compliance with legal obligations; and (d) your consent, where required.
6. Sharing & subprocessors
We share data only as needed to run the service, including with:
- Hosting and infrastructure providers that operate our compute, storage, and observability layer.
- AI providers that process model prompts and completions for the LLM you selected at build time.
- Voice infrastructure providers for speech synthesis, transcription, and telephony.
- Payment processors for subscription and usage billing.
- Support and analytics tooling used to triage tickets and measure product usage.
- Professional advisors (accountants, lawyers) where engagement requires limited access.

We may also disclose information when required by law, to protect rights and safety, or in connection with a merger, acquisition, or sale of assets (subject to a confidentiality obligation and continued protection of personal information).
7. International transfers
We and our subprocessors may process data in the United States and other countries. Where personal data is transferred out of the EEA, UK, or other jurisdictions with cross-border restrictions, we rely on appropriate safeguards, including standard contractual clauses where applicable.
8. Data retention
We retain account and usage data for the duration of your subscription and for ninety (90) days after cancellation to allow for data export and account recovery. Conversation data is retained per the retention setting on your account; the default is twelve (12) months unless you configure otherwise. Backups roll off within twelve (12) months. We retain billing and transaction records for the period required by applicable accounting and tax law.
9. Your rights
Subject to applicable law, you may request to access, correct, delete, port, restrict, or object to the processing of your personal information by emailing hello@callibre.ai. We respond within thirty (30) days. Where you are an end client of one of our agency customers, please direct privacy requests to that agency first; we will support them in fulfilling your request.
10. Security
We use industry-standard administrative, physical, and technical safeguards including encryption in transit (TLS), encryption at rest for stored data, least-privilege access controls for production systems, and audit logging. No system is ever 100% secure; if we become aware of a security incident affecting your data we will notify you in accordance with applicable law.
11. Cookies & analytics
This marketing site uses a minimal set of cookies and analytics events strictly for traffic measurement and to improve the site. The Callibre application uses session cookies necessary for authentication. We do not run cross-site advertising trackers on this site. You can control cookies in your browser settings.
12. Children's privacy
The Callibre service is intended for business use and is not directed to children under sixteen (16). We do not knowingly collect personal information from children. If you believe a child has provided personal information to us, please contact hello@callibre.ai and we will delete it.
13. Changes to this policy
We may update this policy from time to time. Material changes will be notified to active subscribers by email and posted with an updated "last updated" date at least thirty (30) days before they take effect.
