Callibre AI ("Callibre," "we," "us," or "our") operates the callibre.ai website and the Callibre AI platform. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our service.
Callibre AI is based in Quebec, Canada. This policy complies with the Personal Information Protection and Electronic Documents Act (PIPEDA), Quebec's Act respecting the protection of personal information in the private sector (Law 25 / Loi 25), and Canada's Anti-Spam Legislation (CASL).
1. Information We Collect
Account Information
When you create an account, we collect your name, email address, and organization name. If you connect a HighLevel agency account, we store the OAuth tokens necessary to access your sub-account data.
Usage Data
We automatically collect information about how you interact with the platform, including pages visited, features used, reports generated, sub-accounts connected, and timestamps.
Voice AI and Conversation AI Data
When you connect a HighLevel account, we process and store Voice AI call transcripts, Conversation AI chat transcripts, resolution outcomes, and agent configuration metadata synced from your sub-accounts. This data is used solely to provide you with reporting, monitoring, and client-portal results.
Payment Information
Payment processing is handled by our third-party payment processor. We do not store credit card numbers or bank account details on our servers.
2. How We Use Your Information
- To provide, maintain, and improve the Callibre AI platform
- To sync, analyze, and report on the Voice AI and Conversation AI activity in your connected HighLevel sub-accounts
- To generate client-portal dashboards, monthly ROI reports, and production-monitoring alerts
- To send you service-related notifications (alerts, reports, account updates)
- To respond to your support requests
- To analyze usage patterns and improve our product
- To detect and prevent fraud or abuse
3. Consent
In accordance with Law 25, we collect and use your personal information only with your informed consent. By creating an account and using the Service, you consent to the collection and use of your information as described in this policy. You may withdraw your consent at any time by contacting us, though this may affect our ability to provide the Service.
4. Data Sharing
We do not sell, rent, or trade your personal information. We may share data with:
- Service providers — infrastructure hosting, payment processing, email delivery, and analytics services that help us operate the platform. We enter into data processing agreements with all providers to ensure equivalent protection of your information.
- HighLevel — only the OAuth connection data necessary to access your sub-accounts, as authorized by you
- Legal requirements — if required by Canadian law, regulation, or legal process
Cross-Border Transfers
Some of our service providers may process data outside of Canada. Where this occurs, we ensure contractual safeguards are in place to provide a comparable level of protection as required under PIPEDA and Law 25. A list of jurisdictions where your data may be processed is available upon request.
5. Data Retention
We retain your account data only for as long as necessary to fulfill the purposes for which it was collected, or as required by law. Synced Voice AI and Conversation AI transcripts, reports, and client-portal data are retained for the duration of your subscription, subject to the log-history limits of your plan. When you delete your account, we destroy or anonymize your personal data within 30 days, except where retention is required by applicable Canadian or Quebec legislation.
6. Data Security
We implement security measures proportional to the sensitivity of the information, including encryption in transit (TLS), encryption at rest, access controls, and regular security assessments. In the event of a confidentiality incident involving your personal information, we will notify the Commission d'accès à l'information du Québec (CAI) and affected individuals as required by Law 25.
7. Your Rights Under Canadian and Quebec Law
Under PIPEDA and Quebec's Law 25, you have the right to:
- Access — obtain confirmation that we hold your personal information and receive a copy of it
- Rectification — request correction of inaccurate or incomplete information
- Deletion — request erasure of your personal information when it is no longer necessary for the purposes it was collected, or when you withdraw consent
- Portability — receive your personal information in a structured, commonly used technological format (as required by Law 25)
- De-indexation — request that links to your personal information be de-indexed where dissemination contravenes the law or a court order
- Withdraw consent — withdraw your consent to the collection, use, or disclosure of your personal information at any time
- Opt out of profiling — refuse to be subject to automated decision-making or profiling

8. Cookies and Tracking
We use essential cookies to maintain your session and preferences. We use Google Tag Manager for analytics. In accordance with Law 25, we obtain your consent before deploying non-essential cookies or tracking technologies. You can manage your preferences through your browser settings or by contacting us.
9. Third-Party Integrations
Callibre integrates with HighLevel. When you connect third-party services, their own privacy policies may also apply to data processed through those services. We encourage you to review their policies before connecting.
10. Children's Privacy
Callibre AI is not intended for use by individuals under 18 years of age. We do not knowingly collect personal information from minors. If we become aware that we have collected information from a minor, we will delete it promptly.

We may update this Privacy Policy from time to time. We will notify you of material changes by email or through the Service at least 30 days before they take effect, and update the "Last updated" date above.
